Dual Position: Front Desk Coordinator with Medical Assistant Cross-Train
Full-Time Position Only (Monday - Friday, 35-40 hours/week)
Radiance Medical Aesthetics and Wellness Spa (“Radiance”) is looking to hire an individual for the position of Front Desk Coordinator (“Reception”) and Medical Assistant. While your primary role will be Front Desk Reception, in this cross-trained role, you will provide various services relating to both Front Desk duties and Medical Assistant (“MA”) duties, depending on the office’s needs. This varied role is ideal for an outgoing, social individual who thrives on patient interaction and is motivated by a desire to help others positively and professionally.
Your shift schedule duties may be altered on a daily or weekly basis depending on the needs of the business. This position requires:
- Flexibility with the day-to-day schedule and the position in which you are scheduled to work.
- Cross-trained for both Front Desk and MA.
- No prerequisites required for MA; however, prior experience is preferred.
- Training is provided onsite.
- Ability to help patients and collaborate with team members to maintain a smooth clinic.
- This position requires time management, willingness to learn, being a team player, proactivity, personability, and charismatic patient interaction.
Dual Position Responsibilities Overview
- Kindly meet, greet, and follow up with patients efficiently and professionally.
- Operate and professionally handle clinic phone calls, emails, and messages following protocol and HIPAA.
- Schedule patient appointments and transmit essential information and documents they may need for their upcoming procedures and treatments.
- Acknowledge and greet all patients and visitors, address inquiries, and direct them to the appropriate personnel according to their needs.
- Create and maintain patient files, documents, and forms.
- Check patients in and out during their visits.
- Assist in daily clinic duties, including opening and closing procedures.
- Restock and maintain the lobby area (i.e. fridge, coffee station, products, supplies, etc.)
- Answer telephones, schedule appointments, and help complete medical histories.
- Call, transmit, and write correspondence to patients regarding prescriptions, referrals, marketing, or treatment reminders.
- Meet or exceed patient satisfaction goals within the practice.
- Manage and submit order requests for clinic supplies, retail products, and treatment consumables to the supervisor on a regular basis.
- Prepare patients for their procedures by taking a medical history, patient photos, and assisting during the procedure at the doctor’s request.
- Assist patients post-procedure, turn over rooms, and set up for the next patient.
- Maintain the cleanliness and organization of treatment areas.
- Initiate and engage with patients, helping them feel comfortable during their visit.
- Meet regularly with the manager and assist with clinic-related projects, such as, but not limited to, clinic signage, organization, patient handouts, form updates, document creation, events, and sourcing.
- Regularly attend and participate in Monday meetings in person or virtually.
- Engage with patients, provide assistance, and offer education when they are shopping for or inquiring about skincare products, services, or procedures.
- Attend team trainings for skincare products, procedures, and demonstrations.
- Must always represent the practice in a professional, pleasant, and cooperative manner.
- Must maintain regular, consistent, and punctual attendance in accordance with assigned schedule and time off policies.
- Must be able to comfortably and efficiently handle multiple deadlines and task assignments.
Required Skills
- Ability to learn, memorize, and effectively communicate information on existing and new services, product lines, and team credentials.
- Learn to operate new office technologies and procedures as they are developed and implemented.
- Ability to operate computers, office machines, and software.

- Always maintain the highest level of confidentiality to HIPAA standards.
- Adhere to strict safety guidelines and procedures to OSHA and office standards.
- Must be detail-oriented to prepare and process business correspondence.
- Must be flexible and understand that job duties may change from time to time and that this individual may be asked to assist in other areas of the office.
- Must demonstrate good reading comprehension and use grammatically correct writing skills by understanding written sentences and paragraphs in work-related documents.
